Background

Hall Plant Hire, based in Chesterfield has been supplying the latest kit for over 15 years and in that time it has developed a customer base of over 2000 customers from its  single depot operation and provides equipment such as excavators, dumpers, Rollers and site safes. Hall Plant pride themselves on their high level of customer service whether customers place an order for the value of £50 or £50,000.
Hall Plant also introduced its PlantSafe™ system some 6 years ago – a lockable reinforced steel strongbox unit that can be delivered with the hire items inside, it provides a safe secure resource to any hirers on site and at the same time addresses the demands of insurance firms to protect assets.

The Issue

Like many hire companies, Hall Plant Hire had been using a paper based system to track the whereabouts of its equipment. As they were growing, the paperwork involved in running the business just became too much for them. At that point it became apparent that they needed a hire software package to speed up and simplify their outdated paper system and allow them time to concentrate on developing and expanding the business.

Halls had certain criteria in mind when they searched the market for the appropriate package. They wanted: continued hires, a system that would be simple to use, and a system that would give them a greater level of efficiency.

“Once we had decided to go ahead with Tradex, they set everything up. There is a ‘Log In’ to a stage testing screen
where you first confirm all of the company details and test a few invoices. Once this is completed you transfer to the
‘Live’ environment. It was an easy transition – very straightforward.
inspHire posts all the invoices that are required to the Tradex hub. This saves us printing out the invoices, folding them and putting them into envelopes and adding postage etc. Electronic invoicing is not free of charge but the convenience is a big factor. In addition it means that there are no ‘lost’ invoices for customers to hide behind or invoices that are late because they are still to be inputted on to the system. The customer receives the invoice on the day that it is generated and as long as the information on the invoice is correct, like the Purchase Order Number, then payment should go through without a delay.
At the end of each day we get a report that shows us which files have been forwarded and confirms they have been
received and accepted. Being able to offer electronic invoicing means that we can supply the bigger players in the
