We have created a middleware application which allows us to easily link with databases and create output files or data directly to your chosen accounting solution.
- Posts directly to your accounting software and update sales ledger, purchase ledger and nominal ledger - As inspHire processes all customer invoices, Purchase invoices and assets we ensure we maintain integrity between your chosen accounting solution by posting all transaction to the relevant sales ledger, purchase ledger and general ledger.
- Live integration with your accounts package - Live integration ensure that critical information such issues with customers like on-stop and/or over credit limit customers including any un-invoiced revenue for equipment still on site is passed through to the user. Special notes held in against the account can be popped up whenever a user tries to create or amend an estimate or a contract.
- Detailed cash Rental management processes - inspHire manages all cash transaction recording deposits, refunds, payments, cash invoices and credit notes as well as miscellaneous till transaction. Transactions are posted back to a single Cash accounting your chosen accounts solution with separate specified Deposit, Cheque, Cash and Credit card accounts if required. All achieved through a simple End Of Day cashing up routine.
- Fixed asset register - Controls depreciation keeping the current asset value up-to-date and creates all ledger postings automatically including asset acquisition, disposal and stock take adjustments.
- Stock Valuation options - inspHire offers various methods of stock valuation including FIFO, standard or average costing. Stock issues and returns will automatically create the correct journals to update balance sheet and profit and loss accounts. Values are also updated with stock take adjustments and depot transfers.
- Item rental income and cost analysis - Full Return on Investment analysis can be obtained taking into consideration, depreciation, maintenance and service costs, revenues and any lease costs if applicable.
- Consolidated invoicing facility at site and customer levels - Not only can inspHire be configured to issue one invoice per customer but can be broken down by site or groups of contract so the customer can have their billing how they want.
- Multi currency - Multi currency functionality will allow purchase, sales and rental rates and prices to be quoted in whichever currency you wish and will give a the level of multi currency you require only depending on the limitations of your accounting application
- Extensive project, contract and sales-order costing - All contracts, Sales orders and Workshop Jobs have a full transaction by transaction cost analysis taking into account labour, materials and external 3rd party purchase orders. At any time a snapshot showing the profitability can be obtained.
- Controlled credit note request document creation and authorisation process - Credit request documents can generated by specific users and the authorised by line managers before the final credit note is generated.
- Payment Terms - Individual payment terms can be attributed to specific contracts as well as customers, Prompt settlement discount with expiry dates can be offered.
